Booking and Payment

  1. Group tours are meant exclusively for Indian nationals and residents, unless otherwise specifically stated.
  2. Bookings are confirmed only after receipt of the required advance payment and are subject to availability.
  3. 60% of the total tour cost is required as a deposit at the time of booking to secure your reservation.
  4. The balance payment must be paid at least 30 days before the departure date.
  5. You can pay by Bank Transfer, NEFT/RTGS/ Credit/Debit card.

Cancellation and Refunds:

  1. All cancellation requests must be submitted in writing via email to the Cholan Tours booking office.
  2. Cancellation charges will apply as follows:
    • 30 days or more before departure: 10% of the total tour cost.
    • 15–29 days before departure: 50% of the total tour cost.
    • Less than 15 days before departure: No refund will be applicable.
  3. In the event of a no-show or failure to join the tour after commencement, no refund will be provided.
  4. Refunds, where applicable, will be processed within 10–15 business days from the date of receipt of the cancellation request.
  5. Any applicable bank charges, payment gateway charges, or transaction fees incurred during the refund process may be deducted from the refundable amount.

Any non-refundable charges levied by hotels, airlines, transport providers or other suppliers will be deducted from the refundable amount

Travel Documents and Identity Requirements

Travellers must carry a valid government-issued photo ID (Aadhaar, Passport, Driving Licence or Voter ID) throughout the tour. It is the traveller's responsibility to ensure all required documents are valid.

Group Size and Operations

  1. Group allocations are fixed and cannot be changed after the booking has been confirmed.
  2. Tours will operate as scheduled and will not be cancelled or rescheduled due to low participation.

Accommodation

  1. Standard hotel check-in/check-out timings are as per hotel policy
  2. Accommodation will be on twin/double/triple sharing unless a single room is booked and paid for.
  3. Room preferences are subject to availability.
  4. Children aged 8 years and above will be considered adults and charged at the applicable adult rate.

Itinerary Changes

Cholan Tours reserves the right to modify the itinerary due to weather, road conditions, government regulations, operational reasons, or other circumstances beyond its control. Any additional expenses arising from such changes shall be borne by the traveller.

Tour Manager's Decision

During the tour, the Tour Manager's decisions regarding timings, seating arrangements, itinerary execution and group discipline will be final and must be respected by all participants.

 Traveller Conduct

Cholan Tours reserves the right to refuse or discontinue the tour of any participant whose behaviour is disruptive, unsafe or causes inconvenience to other travellers, without any refund.

Health and Safety Requirements

  1. Travellers must disclose any pre-existing medical conditions, allergies, or special medical requirements at the time of booking.
  2. Travellers are responsible for their own health and medical expenses during the tour. Cholan Tours will assist wherever reasonably possible during emergencies.
  3. Comprehensive travel insurance is mandatory for all participants. Travellers are advised to carry a copy of their travel insurance policy and emergency contact details throughout the tour.
  4. Travellers are responsible for ensuring that they are medically fit to undertake the tour and to participate in the activities included in the itinerary.

Liability and Disclaimer

  1. Cholan Tours acts only as a facilitator between travellers and service providers such as hotels, transport operators, airlines and activity providers. While every effort is made to ensure smooth operations, Cholan Tours shall not be responsible for any loss, delay, injury, accident, damage or additional expenses arising from the services of third-party providers or circumstances beyond its control.
